After your studies abroad

The stay abroad is now over. You will return home with many experiences, beautiful pictures and plenty of ECTS. In order for your university credits from abroad to be recognised in Passau as well, you will have to complete and hand in some documents.

After successfully completing your studies abroad, you must submit the following documents to the International Office:

  • Residence Confirmation (original or copy) – To be handed in at the International Office only after returning from your stay abroad. With exact details of the period (day, month, year) and signatures of the partner university; the end date must not be later than the signature date. A 'Letter of Acceptance' is not sufficient.
  • Report form for studying abroad (Word) – To be handed in at the International Office with the original signature only after return from the stay abroad. Duplicate copy in paper form (original or copy); also a digital version (PDF file) to erasmus.outgoing@uni-passau.de
  • Transcript of Records (original) – may be sent directly from the partner university to the International Office – in this case we will send you an e-mail confirming receipt. If the partner university needs more than one month to issue the transcript, it can be handed in later. To ensure that your grades earned abroad can be credited, chairs usually require an original transcript of records (this must bear the university's stamp and must be signed)!

Moreover, you have to complete the following online form:

  • EU online survey – we will send you the link to the form by e-mail at the end of your stay.
  • OLS language test – you will also receive an e-mail asking you to take this test.

Please note: The contacts responsible for the recognition of credits are likely to be away during the semester breaks. Early planning is therefore requested.

Please remember to submit the documents in full and on time, otherwise the second instalment cannot be paid out or the grant will be recovered!

Recovery of funds

In the following cases the Erasmus+ mobility allowance must be recovered (pro rata, if applicable) or the second instalment must be reduced:

a) The documents above were not submitted by the deadline.
b) No proof of regular study as part of a regular degree programme has been provided (ECTS credits).
c) The period indicated in the letter confirming completion of the study-abroad period is shorter than the granted funding period.

Miscellaneous

Whether you were regularly enrolled at the University of Passau during your stay abroad or applied for a foreign study semester does not affect the possibility of having your academic achievements abroad recognised at the University of Passau.

Information on leave of absence can be found on the website of the Student Registration Office.

The contact person for recognition is the programme coordination office.

After submitting proof of your studies abroad, they will issue you a certificate which you must then submit to the Examinations Office.

an original transcript of records (with stamp/signature of the partner university), as otherwise there may be problems with the crediting of your achievements at Passau University.

Bachelor students may have difficulties in converting their grades. Therefore, please make sure that you ask the respective subject coordinator which documents have to be submitted for a grade conversion. General rules:

In order to benefit as much as possible from your stay abroad, you should think in advance about what you would like to have recognised later. Below you will find information on possible recognition with regard to your studies abroad.

If you have planned your studies abroad carefully in advance, the later recognition of study and examination achievements is usually unproblematic. For recognition, please bring the following documents with you to the office hours of the 'programme coordination':

  • a copy of the transcript of records of your host university
  • Requirements for the conversion of grades if provided by your host university
  • the Individual learning agreements concluded before the start of the study abroad programme
  • the fully completed application for recognition of study periods, study achievements and examinations by the Examinations Office

The Programme Coordinator takes over the binding conversion of your examination results as well as the final recognition.

Only in cases of doubt (missing or incomplete individual learning agreements) do you have to go to the person responsible for the module again after the grade conversion in order to have the content of the examination and the recognition of your achievements carried out there.

At the end of the recognition process, the form is submitted to the responsible Examinations Office so that the grades can be booked in HISQIS.

Mr Killer from the Language Centre is exclusively responsible for language courses.

With proper application, foreign credits will be credited if the student has completed a similar or related course of study as outlined in the university’s regulations and if the equivalence of the course of study and the examination can be proven. If an individual learning agreement is concluded, equivalence is deemed to have been proven.

Starting with the summer semester 2017, grades will be converted centrally at the Dean’s Office of the Faculty of Business, Economics and Information Systems. The learning agreement can be submitted to the Examinations Office after the Dean’s Office has confirmed the conversion of grades. Details on grade conversion can be found on the homepage of the Faculty of Business, Economics and Information Systems.

Pursuant to § 37 subsection 2 (2a) of the German Legal Training and Examination Regulations (JAPO) up to two semesters will not be credited (the deadline for the 'practice examination' can be extended), if foreign or international law is studied at a university abroad in a law programme, proof of achievement is provided for each semester and at least 8 teaching hours per week are taken at a law faculty (alternatively: 12 ECTS can be provided). Please do not hesitate to contact the Programme Adviser!

Students specialising in foreign law should contact the Programme Adviser or Mr Andrew Otto.

After your stay abroad you present the Individual learning agreements together with the Transcript of Records (the proof of the partner university about the achievements abroad) to the respective chairs. They will issue you with confirmations of recognition, which you then submit to the Examinations Office together with the transcript of records in order to have the services entered in HISQIS.

All information is subject to change! Depending on the programme, binding information can be obtained from the programme adviser, the responsible lecturer, the examinations office or the Dean’s Office.
